This Privacy Policy explains how Hulltimate Software Solutions Ltd ("we", "us", "our") collects, uses, and protects your personal data when you use our Web Status Raven service at https://www.webstatusraven.com.

Web Status Raven is a product operated by Hulltimate Software Solutions Ltd. We are the data controller for personal data processed through the service. For privacy enquiries, contact privacy@webstatusraven.com.

1. Personal data we collect

  • Account data: email address, password (stored hashed), account identifiers, and email confirmation status.
  • Monitor data: site names, URLs, check intervals, monitor settings, and uptime/check results generated by our monitoring service.
  • Settings: preferences such as reporting time zone.
  • Technical data: we do not store your IP address, browser type, request logs, or rate-limiting records when you use the website. When you register or sign in, your IP address may be sent to Google reCAPTCHA to help prevent abuse (see Google's privacy policy).
  • Billing data (when you subscribe): subscription status, plan tier, and Stripe customer/subscription identifiers. Payment card details are collected and processed by Stripe; we do not store full card numbers.
  • Communications: emails we send (for example account confirmation, downtime alerts, billing notices) and support correspondence.

2. How we use your data

We process personal data for the following purposes and lawful bases under UK GDPR:

  • Providing the service (contract): account creation, authentication, monitoring, dashboards, alerts, and settings.
  • Billing and subscriptions (contract): managing trials, subscriptions, invoices, and payment recovery.
  • Security and abuse prevention (legitimate interests): protecting accounts, applying temporary in-memory rate limits on sign-in and registration forms, and maintaining service integrity.
  • Legal compliance (legal obligation): responding to lawful requests and maintaining records where required.
  • Service improvement (legitimate interests): diagnosing errors and improving reliability. We do not use third-party advertising cookies.

3. Trial accounts

New accounts receive a 14-day free trial with up to 2 monitors, 5-minute check intervals, and 7-day dashboard history. No payment card is required to start a trial. If you do not subscribe before the trial ends, your account is locked and monitoring stops until you choose a paid plan.

After trial expiry without a subscription, we may retain account and monitor data for up to 30 days before deletion or anonymisation, unless you request earlier deletion or we are required to retain data for legal reasons.

4. Cookies and similar technologies

We use cookies and similar technologies as described in our Cookie Policy. Strictly necessary cookies are used to operate the site and keep you signed in.

5. Sharing and subprocessors

We share personal data only where needed to operate the service:

  • Microsoft Azure: hosting, database, and infrastructure (United Kingdom / European Economic Area where configured).
  • Microsoft 365 / SMTP: transactional email delivery (account and alert emails).
  • Google reCAPTCHA: abuse prevention on sign-in and registration (your IP address may be processed by Google).

We do not sell your personal data.

6. International transfers

Where subprocessors process data outside the UK, we rely on appropriate safeguards such as UK adequacy regulations, Standard Contractual Clauses, or equivalent mechanisms.

7. Retention

  • Account data is retained while your account is active and for a limited period afterwards.
  • Monitor check history is retained according to your plan and operational needs.
  • Billing records may be retained for up to seven years for accounting and tax purposes.

8. Your rights

Under UK GDPR you may have the right to:

  • Access, rectify, or erase your personal data.
  • Restrict or object to certain processing.
  • Data portability where applicable.
  • Withdraw consent where processing is consent-based (not applicable to core service delivery).
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Security

We implement technical and organisational measures including encrypted connections (HTTPS), hashed passwords, access controls, and infrastructure security provided by our hosting platform. No method of transmission or storage is completely secure.

10. Children

The service is not intended for users under 18. We do not knowingly collect data from children.

11. Changes

We may update this policy from time to time. Material changes will be posted on this page with an updated date. Continued use after changes take effect constitutes acceptance where permitted by law.
